The Problem

Lost Instruments, Missing Records, and Unclear Responsibility

Many companies track calibration dates but do not track chain of custody.

When an instrument is overdue, missing, or under investigation, companies often struggle to answer basic questions:

Without chain of custody tracking, these questions are difficult to answer during audits and investigations.

Cambri solves this by tracking custody, assignment, location, and responsibility
  • Where is the instrument?

  • Who has it?

  • Who was responsible for it?

  • Was it in service while out of calibration?

  • Was it sent in for repair or calibration?

  • When was it removed from service?

What Cambri Tracks

Complete Instrument Chain of Custody

Every custody transfer creates a record showing who, what, when, where, and why — so you can always reconstruct exactly where an instrument has been.

Cambri tracks:

  • Who the instrument is assigned to
  • Who currently has custody
  • Instrument location (truck, lab, warehouse, manufacturer, etc.)
  • When custody changed
  • Why custody changed
  • Instrument status (in service, in lab, in transit, out of service, quarantined)
  • Full history of transfers

Defensible in Any Audit

When an auditor asks where an instrument was during a specific date range, Cambri can produce a timestamped custody history showing every location, every transfer, and every responsible party.

Real-Time Visibility

Managers and supervisors can see the status and location of every instrument at any time — not just during audits. No more calling around to find out where a gas detector is.

Prevents False Overdue Reports

When an instrument is sent to the lab or manufacturer, Cambri updates the status so it is not flagged as "in service overdue." This eliminates false positives in compliance dashboards.

Real-World Example

See How Chain of Custody Works in Practice

A gas detector fails calibration in the field. Here is exactly what Cambri records — step by step — from failure to return to service.

STEP 01

Calibration Fails in the Field

Technician performs calibration check. Gas detector fails. Instrument is immediately flagged.

STEP 02

Removed From Service

Instrument status updated: Out of Service. Department supervisor notified. Instrument is no longer counted as active.

STEP 03

Transferred to Calibration Lab

Technician → Calibration Lab. Transfer recorded with timestamp, reason, and signature.

STEP 04

Lab Sends to Manufacturer

Lab determines repair is needed. Calibration Lab → Manufacturer. Transfer recorded. Status updated: At Manufacturer.

STEP 05

Repaired and Returned

Instrument is repaired, re-calibrated, and returned. Manufacturer → Lab → Technician. Full custody trail preserved.

STEP 06

Returned to Service

Instrument status updated: In Service. New calibration certificate attached. No gap in audit trail.

The Result

The instrument is not counted as "in service overdue" during its repair. When an auditor asks where this instrument was between March 3rd and April 12th, Cambri produces a complete custody trail in seconds — preventing confusion, false overdue reports, and audit findings.
